These disclosures cover Information Systems platform features in addition to the website disclosures above, including AI assistants, social publishing and inbox tools, advertising tools, CRM and marketing automation, calls and SMS, e-commerce, media generation, Discovery, and the Swipe File browser extension.

Our role and our customers’ role

When a business customer uses the platform to manage its own prospects, clients, contacts, messages, content, campaigns, or business knowledge, that customer generally decides why and how the information is used. In that context, Information Systems processes the information to provide the customer’s requested services. Each customer is responsible for giving its own contacts appropriate privacy notices, obtaining required permissions, and using connected channels lawfully. Information Systems acts as a business or controller for information collected directly for our own account administration, billing, security, support, analytics, and marketing purposes.

Platform information we may process

  • Account, profile, authentication, business, team, subscription, and support information.
  • Contact and CRM information, such as names, usernames, email addresses, phone numbers, tags, lifecycle stages, notes, preferences, and interaction history.
  • Connected social-account identifiers and authorization credentials; posts, ads, campaigns, audiences, performance metrics, comments, direct messages, attachments, and other channel content.
  • Calls and SMS information, including phone numbers, message content, delivery data, call metadata, and recordings or transcripts when those features are enabled and lawful notice or consent has been provided.
  • Business knowledge, offers, playbooks, training documents, prompts, instructions, AI drafts, edits, approvals, generated outputs, and feedback.
  • Photos, video, audio, voice samples, avatar or digital-twin inputs, scripts, and generated media. Some voice or face features may involve biometric identifiers or biometric information where applicable law defines them that way.
  • Order, subscription, billing, and transaction information. Payment card details are handled by payment providers rather than stored by Information Systems in full.
  • Device, browser, IP address, cookie, usage, diagnostic, security, and approximate-location information.
  • For Swipe File, the public ad text, library identifier, and creative that a user explicitly chooses to save, plus the connected platform address and connection key. See the dedicated Swipe File Privacy Policy.

How we use platform information

We use this information to provide and secure accounts; connect authorized services; publish and schedule content; operate inbox, comment, call, SMS, CRM, sales, campaign, advertising, analytics, e-commerce, support, and AI features; generate requested text, images, audio, and video; process payments; prevent fraud and abuse; troubleshoot and improve reliability; comply with law; and communicate about the service.

AI features and human control

AI features may analyze the context supplied by an authorized customer and create suggestions, classifications, summaries, drafts, content, media, or actions according to that customer’s settings. Customers can review drafts, choose automation modes, assign conversations to a person, and edit or disable features. Information Systems does not use one customer’s private conversations, connected social content, or imported business knowledge to train a shared model for other customers. Do not submit highly sensitive information unless it is necessary, authorized, and appropriate for the selected feature.

Service providers and connected platforms

Depending on the features a customer chooses, information may be processed by:

  • Anthropic PBC and OpenAI, L.L.C. for AI text analysis and generation.
  • Google LLC for analytics, security and anti-abuse services, and selected AI or media-generation features.
  • Eleven Labs Inc., HeyGen Technology, Inc., and Features & Labels Inc. (fal) for selected voice, avatar, image, audio, or video-generation features.
  • ZERNIO SOFTWARE SL for authorized social-account connections, publishing, messaging, comments, and delivery of channel events.
  • Meta Platforms, Inc., LinkedIn Corporation, and TikTok Inc. when a customer connects or uses those platforms. Those companies may also act under their own terms and privacy notices.
  • Stripe, Inc. and Automattic Inc. for payment, subscription, fraud-prevention, and e-commerce services.
  • Hosting, email-delivery, security, customer-support, and other infrastructure providers needed to operate the service.

We may add or replace providers as features change. We require providers to process information under applicable contracts and only for permitted purposes, subject to their independent legal obligations.

Analytics, advertising, cookies, and opt-out choices

We use Google Analytics and Meta advertising technologies, including Meta Pixel and server-side Conversion API, to measure use, understand campaign performance, and advertise our services. These tools may receive online identifiers, IP address, device and browser information, page activity, and conversion events. Under some United States privacy laws, disclosure for cross-context behavioral advertising may be considered a “sale,” “sharing,” or targeted advertising even when no money is exchanged. Use the cookie banner or Opt-out preferences page to manage nonessential cookies and advertising choices where available. Platform customers are responsible for configuring their own advertising and tracking activities lawfully.

Retention, deletion, and security

We retain information for as long as needed to provide the account or feature, meet contractual and legal obligations, resolve disputes, prevent abuse, and maintain appropriate business records. Retention varies by data type, customer settings, connected platform, and provider. Account owners may delete content through available controls or request deletion, subject to legal, security, backup, and fraud-prevention exceptions. We use reasonable administrative, technical, and organizational safeguards, but no system can guarantee absolute security.

International processing

Information may be processed in the United States, the European Economic Area, and other countries where Information Systems, connected platforms, or service providers operate. Where required, we use appropriate contractual or legal transfer safeguards.

Your choices and requests

You may disconnect channels, revoke provider permissions, change AI and automation settings, manage cookie choices, unsubscribe from marketing, and use available account controls. Privacy requests may be sent to support@informationsystems.io. We may need to verify the request. If your information was submitted or controlled by one of our business customers, contact that customer first; we will assist it as required.
